Running one servo is hard enough. Running two, three, or more means your roster headaches multiply just as fast as your fuel volumes. Staff call in sick at Site B on the same morning you are short-handed at Site A, and suddenly you are making phone calls instead of running a business. Multi-site staff management is a different beast, and most operators are trying to tame it with tools built for a single location. Here is what actually goes wrong, and what a better setup looks like.
Why multi-site staff management breaks down
The problems start the moment your second site opens. You hired staff for a specific location, built a roster around that location, and set up your records for that location. Then reality hits: someone at Site A needs to cover a shift at Site B, a new hire ends up working across both, and your tidy per-site system starts showing cracks.
The core issue is visibility. When every site lives in its own spreadsheet, notebook, or WhatsApp thread, no single person has a clear picture of who is rostered where. You end up double-booking people without realising it, leaving gaps you could have filled if you had seen the whole picture, or finding out at 6am that neither site has a shift supervisor rostered on.
Add in different pay rates for different sites, varying award conditions based on site type, and the fact that not every staff member is cleared to work every location, and the complexity stacks up fast.
The spreadsheet-per-site trap
Most servo operators start with a spreadsheet. It works fine for one site. For two sites, you copy the spreadsheet and rename it. For three, you are managing three separate files and trying to remember which version is current.
The spreadsheet-per-site trap is not just inconvenient, it actively creates risk. When a staff member updates their availability, you have to update it in every file. When you need to find someone available for a last-minute shift, you are manually checking three spreadsheets instead of running one search. When you want to see your total labour cost across all sites this week, you are pulling numbers together by hand.
The other problem is that spreadsheets have no memory. They cannot tell you that Sarah worked a double shift at Site A yesterday and probably should not open Site B at 5am tomorrow. They cannot flag that you are approaching overtime for a staff member whose hours are split across locations. That context lives in your head, and when you are managing multiple sites, your head is already full.
Which staff can work across sites (and how to track it)
Not every staff member is appropriate for every site. Some are casual and have nominated which locations they are available for. Some are trained on specific POS systems that only exist at certain sites. Some live close to one servo and the commute to another is genuinely unreasonable. Some are senior enough to open or close any site, and some are not cleared to operate without supervision.
You need a way to record this at the staff level, not at the site level. Each person in your system should carry with them the information about where they can work and under what conditions. That way, when you are building a roster for Site C and you need to pull someone in from the broader pool, you are only seeing staff who are actually eligible and available.
In practice, this means your staff records need a field for site eligibility that travels with the person, not a separate list buried inside each site's own setup. When you are working fast on a Saturday morning, you do not have time to cross-reference three separate systems to work out who can cover.
Building rosters that account for multi-site coverage
A good multi-site roster starts with a single view of your total workforce, not separate rosters for each location that you then try to reconcile.
The practical workflow looks like this: you build each site's base roster with your regular crew first. Then you look across all sites at the same time to find gaps and conflicts. If Site A and Site B both have a gap on Thursday afternoon, you want to see both gaps side by side so you can decide whether the same person can cover one after the other, or whether you need two separate solutions.
You also want the roster to account for total hours across sites. A staff member might only be rostered for 12 hours at Site A this week, but if they are also picking up 15 hours at Site B, they are close to full time and potentially heading toward overtime. Without a unified view, that is invisible until it shows up as a wage surprise.
Building in a buffer for multi-site coverage means keeping a small list of staff who are explicitly available to float between locations. Not everyone wants to do this, but for those who do, having them tagged and visible in a single system means you can fill gaps in under two minutes instead of twenty.
What one dashboard for all your sites actually looks like
A proper multi-site dashboard is not just a list of site names. It is a single place where you can see, right now, who is clocked in at each location, who is rostered for the next shift, which sites are short-staffed, and what your total labour hours look like across the week.
From that same dashboard, you should be able to jump into any site's roster, make a change, and have it reflected immediately without copying anything across to another file. If a staff member calls in sick at Site B, you find a replacement, update the roster, and the staff member gets notified without you touching a spreadsheet.
PIN clock-in adds another layer of clarity. When every staff member clocks in with a PIN at whichever site they are working, you get accurate attendance records that are already tagged to the right location. No chasing timesheets at the end of the fortnight, no guessing which site someone actually worked on Tuesday.
For multi-site operators, this kind of setup is not a nice-to-have. It is the difference between spending your morning managing rosters and spending it running your business.
ServoSimple is built for Australian petrol and convenience operators. Rosters, timesheets, and PIN clock-in, all in one place. No IT team needed. Setup in under 10 minutes.
